Employer Privacy Policy

This Employer Privacy Policy explains how PopCandi LLC, doing business as MyJobSearchTool ("we," "us," "our"), collects, uses, and protects information when organizations and interviewers use the MyJobSearchTool Employer Workspace — including interviewer practice, interview planning, team management, and outplacement support features.

This policy supplements our general Privacy Policy, which applies to all users of MyJobSearchTool.

1. Information We Collect

Account and organization information. Name, email address, role (such as organization admin or interviewer), organization name, and optional branding assets (such as a company logo).

Customer Content you provide. Job descriptions, interview plans, competency maps, custom practice scenarios, and other materials you upload or enter.

Practice session data. Transcripts of AI practice conversations, AI-generated feedback and rubric assessments, and — if you choose to enable your camera — audio/video recordings of your practice sessions.

Usage information. Practice history, session duration, feature usage, and readiness metrics used to show progress to you and, where applicable, to your organization's admins.

Access request information. When you request employer access, we collect the contact and company details you submit in that form.

2. How We Use Information

We use employer information to:

  • Provide, operate, and personalize the Employer Workspace
  • Generate AI synthetic candidates, practice conversations, feedback, and assessments you request
  • Show organization admins team-level readiness and activity metrics for their own organization
  • Manage invitations, access requests, and account administration
  • Communicate with you about your account, invitations, and service updates
  • Maintain security, prevent abuse, and improve the services

3. AI Processing

Practice conversations and Customer Content are processed by AI service providers acting on our behalf to generate synthetic candidate responses, feedback, and analysis. We use this processing only to provide the features you request.

If you enable your camera or microphone, recordings are processed to provide you with feedback (such as communication and professionalism analysis). Recordings are stored securely and are accessible to you; they are not shared with other organizations.

4. What We Do Not Do

  • We do not sell your personal information or Customer Content.
  • We do not use your practice recordings to advertise to you.
  • Synthetic candidates are fictional; we do not use the Employer Workspace to process real candidate application data, and you should not upload it (see the Employer Terms).

5. Visibility Within Your Organization

  • Interviewers can see their own practice history, feedback, and recordings.
  • Organization admins can see team membership, invitation status, and aggregate readiness/activity metrics for members of their organization. They do not receive access to members' private session recordings unless a feature explicitly states otherwise.
  • Solo interviewers (not part of an organization) keep their practice data private to their own account.

6. Sharing

We share information only with:

  • Service providers that help us operate the platform (hosting, AI processing, email delivery), under contractual obligations to protect your information
  • Your organization, as described in Section 5
  • Legal and safety purposes, when required by law or to protect rights, safety, and the integrity of the services

7. Data Retention

We retain account information, practice history, and recordings for as long as your account is active or as needed to provide the services. You may request deletion of your account and associated data by contacting us; we will delete or de-identify it within a reasonable period, except where retention is required by law.

8. Security

We use administrative, technical, and organizational measures designed to protect employer information, including encrypted transport and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your Rights and Choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, or to object to certain processing. To exercise these rights, contact us at info@myjobsearchtool.com.

Organization admins are responsible for managing their own team membership and for honoring their organization's obligations to their employees and interviewers.

10. International Use

Our services are operated from the United States. If you use the Employer Workspace from outside the United States, you understand that your information will be processed in the United States.

11. Changes

We may update this Employer Privacy Policy from time to time. We will post the updated version with a new "Last Updated" date and provide additional notice of material changes where required.
